The Admin Buyer's Checklist for Honeywell T5 Thermostats, Solenoid Valves, and the Hot Water Heater Everyone Forgets

Why this checklist exists

I'm the office administrator for a 40-person company. I handle building supply orders, filters, thermostats, valves, and the occasional emergency water heater call, totaling roughly $120,000 a year across eight vendors. I'm not an HVAC tech. I'm the person who has to figure out which part number to order and which contractor gets a key to the building.

This checklist is for other administrators, office managers, and ops people who aren't trained technicians but still end up managing the building. It assumes you have a Honeywell T5 thermostat, a forced-air HVAC system, and a tank-style water heater. If you're a homeowner, most of this applies too. If you run a larger facility, have your building engineer confirm before doing anything.

Step 1: Find the right Honeywell T5 programmable thermostat manual

Before you search for the manual, find the model number. The Honeywell T5 is sold under a few names like T5 and T5+, and they are not all wired or configured the same. The model number is on the back of the thermostat faceplate and inside the settings menu under Settings, then About. In our building, the same order came with two different T5 versions because a contractor grabbed what was in stock.

Once you have the model number, pull the official PDF manual from Honeywell Home support (honeywellhome.com). Search by the model number, like RTH5160D1003 or RTH8800WF2022, instead of just the name T5. It sounds obvious, but this is where the wrong wiring diagram comes from. According to Honeywell's online support documentation, most T5 questions require the model number before you can even see the right guide.

What most people don't realize is that the physical manual you get at purchase often covers multiple models. That's why the same thermostat looks different in two offices. Find the number first, then download the PDF.

Step 2: How to connect a Honeywell thermostat to WiFi

If the complaint is the thermostat won't connect, here's the sequence that usually works:

  1. Press Menu on the thermostat.
  2. Select WiFi.
  3. Choose your network and enter the password.
  4. Wait for the check mark, then open the Resideo app. The Honeywell Home app has been rebranded as Resideo in most regions, as of early 2025.

Here's something vendors won't tell you: the T5's WiFi radio only supports 2.4GHz, not 5GHz. If your office uses a dual-band mesh network with the same network name, the thermostat can look like it's connecting and then drop. Create a separate 2.4GHz network for building controls, or log into your router and turn off band steering.

We fought this for a week in 2023. It was not the thermostat. It was the router, set to 5GHz-only on the main SSID. Once I made a separate IoT network, the thermostat connected in about two minutes.

Step 3: Check the solenoid valve before you call a vendor

A solenoid valve is an electromechanical valve that opens and closes to control water, air, or gas flow. In an office HVAC system, you'll find them in humidifiers, boiler feed lines, and some heating systems. If a zone isn't getting heat or a humidifier won't stop running, this part is a likely culprit.

You don't need to take it apart. Here's the checklist:

  • Listen for a clicking sound when the system calls for flow. A click means the coil is getting power.
  • Feel the coil carefully. Warm is normal. Hot to the touch or loud buzzing means the coil is failing.
  • Write down the voltage, pipe size, and part number from the label before calling anyone.

I assumed any HVAC contractor would know which solenoid valve was in our system. Didn't verify. When the tech arrived in 2022, he had to reschedule because the valve was in an awkward spot and he didn't have the right fittings. The visit cost us $180 for a 20-minute look. Now I photograph the label and send it before someone drives to the building.

Step 4: Make air filter replacement a scheduled task, not a reaction

Air filter replacement is the highest-leverage maintenance task in most buildings. If you don't know the filter size, pull the old filter out and look at the cardboard frame. The size is usually printed somewhere like 20x20x1 or 16x25x4. If it isn't, measure the opening with a tape measure.

Here's the part where I changed my mind: I used to order the cheapest filter that fit. It saved maybe $10 per filter, and the air handler worked harder. When a tenant complained about dust and noise, we paid for a service call that cost more than a year of decent filters. Now I order pleated filters, MERV 8 at minimum for a standard office, and change them every 90 days. Monthly if there's construction nearby.

MERV (Minimum Efficiency Reporting Value) tells you how well the filter captures particles. Higher isn't always better. A MERV 13 filter can restrict airflow in a system designed for MERV 8. Match the spec, not the hype.

Write the date and filter size on the cardboard frame before you slide it in. This is the admin version of a receipt, and it prevents the classic I just changed it argument in the break room.

Step 5: Learn how to drain a hot water heater

If you have a tank-style water heater, sediment settles on the bottom over time. The fix is straightforward, but I'll be honest: in my first two years, I never scheduled it. The water heater was out of sight, and nobody complains until the water runs brown or the tank leaks.

How to drain a hot water heater in about 20 minutes:

  1. Turn off the power at the breaker, or turn the gas valve to pilot if it's gas.
  2. Attach a garden hose to the drain valve near the bottom of the tank.
  3. Open the pressure relief valve on the top or side. This lets air into the tank.
  4. Open the drain valve and let the water run until it's clear.
  5. Close the drain valve, remove the hose, and close the pressure relief valve.
  6. Restore power or gas.

If the water barely comes out, stop and call a plumber. Don't force the drain valve open. If your water heater has a mixing valve or is connected to a recirculation loop, have a licensed plumber show you the first time. It's not complicated, but local code and safety details matter. Note to self: I still need to find a plumber who will do that training instead of just sending a quote.

The quality angle here is easy to miss. A tenant or employee doesn't know if you drained the water heater, but they do know when the water smells metallic or the unit dies early. That's the invisible side of your company's brand. Small maintenance makes the whole building feel taken care of.

Step 6: Label, photograph, and file everything

After each check, create a one-page note with:

  • Date and who did the check
  • Thermostat model number and solenoid valve part number
  • Filter size and MERV rating
  • Water heater drain date

This documentation feels like overhead until someone asks which filter this building uses. In our 2024 vendor consolidation project, this file saved me from guessing. It also made me a better buyer. When a vendor tried to sell us a premium filter that didn't match our unit, I could push back with the model number.

Common mistakes and notes

Don't assume every Honeywell thermostat uses the same app

The T5 and T6 thermostats generally use the Resideo app. Older Honeywell WiFi thermostats often use Total Connect Comfort. If you log into the wrong app, the thermostat won't show up. Don't hold me to this, but I think the app transition happened around 2023. Checking the app store description is faster than fighting the login screen.

Office WiFi networks can block thermostats

If your building's WiFi has client isolation enabled, the thermostat can connect but the app can't reach it. To be fair, client isolation is a reasonable security feature in shared offices. The fix is to put building controls on a separate IoT network or a dedicated access point.

The cheapest part is rarely the cheapest in the long run

I've eaten the cost of that mistake more than once. One that still annoys me: I approved a low-cost filter order that saved us roughly $300 over the year. Within six months, the air handler's pressure sensor tripped twice and we paid $450 in diagnostic calls. I'm not suggesting you buy luxury filters. I'm suggesting you match the spec and treat maintenance parts as purchases that protect the system.

That's the checklist. Put a recurring reminder on the calendar, keep the notes in a shared folder, and you'll have fewer Monday surprises.
