Some Fridays are quiet. This one was not.
At 4:47 p.m., our shop technician caught me in the hallway with a list: the compressor was short-cycling, moisture was showing up in the air lines, the meeting room was calling for heat when nobody was cold, and the kitchen fridge was running but the fresh food section sat around 52°F. The freezer side was fine.
I handle purchasing and facilities for a 40-person engineering and light-manufacturing company. Accounting is what I studied; procurement is what I do every day. I started this role in 2020, which means I’ve bought a lot of equipment since then—some of it twice because the cheap version failed the first time. That week gave me another crash course in why comparing sticker prices is not the same as comparing costs.
Thermostat wasn’t broken; it was in “Hold”
The conference room has a Honeywell thermostat TH5220D1003 that has been there longer than most employees. It’s a commercial-grade unit, nothing fancy. The complaint, from our admin assistant, was that the room was 78°F while the display read 72°F and warm air kept blowing. One engineer had started browsing Nest thermostat options because the old Honeywell “had to be dying.”
Our HVAC contractor showed up the next morning, checked the wiring, then pressed a few buttons. The alert was real, but the cause wasn’t mechanical. Someone had left the Honeywell thermostat set to 84°F with the schedule disabled. The unit simply kept calling for heat because the temperature never reached its “hold” target.
He showed me how to exit Hold, return to the program schedule, and lock the temperature range. I should have known how to do all that myself, honestly. The service call cost $115. Replacing that thermostat and paying an installer would have been around $400, and it would not have solved the actual problem.
That Nest thermostat idea looked good on paper
That Nest thermostat idea had been in one of our engineers’ shopping carts for weeks. He liked the app, the modern face, and the “learning” schedule. In a house, I can see the appeal. In a shared conference room, though, what I need is the opposite of learning—I need predictable setpoints that a visitor can’t override by holding down a button for three seconds.
I don’t want to sound anti-Nest. If I were buying for a home office with a single person, I’d probably pick one. But our meeting room is used by dozens of people, and most of them just want the room comfortable without reading a manual. The Nest would have added another moving part and another set of app permissions; it wouldn’t have stopped someone from setting 90°F because their hands were cold.
Two quotes for the same air dryer—only one included the actual job
The compressor issue was different. Moisture in compressed air ruins pneumatic tools and finished parts. Our service technician diagnosed a failing air dryer and recommended a Bendix air dryer replacement. He sent me a model number and said, “Get two quotes.”
I got two. Supplier A offered a universal dryer for $580 plus $55 shipping. The quote said “installation not included.” Supplier B quoted $740 for the Bendix air dryer package, including the separator, a replacement filter cartridge, and installation.
Supplier A looked cheap at the top. After I called our tech, though, the $580 unit needed a particle separator, extra fittings, and roughly two hours of mounting labor. Total: about $950. Supplier B’s $740 quote included the separator, a fresh filter cartridge, and installation. Total with tax: $849. And Supplier B answered the phone on the second ring when I had questions; Supplier A’s service line put me on hold for 45 minutes.
I approved Supplier B. My spreadsheet said Supplier A was cheaper on the line item; my gut said the extra “add-ons” were not extras—they were the actual job. The local tech installed the Bendix in under an hour, and the next morning the line filters stayed dry.

By the time I got back to the fridge problem, I’d already googled the phrase: “why the fridge is not cold but the freezer is?” The usual explanations involve a failed evaporator fan motor, an air damper stuck closed, or a defrost heater issue.
The repair technician found a defrost heater that had failed, which let ice build up on the evaporator coil and blocked the airflow. Part: $28 (actually $28.50 with tax). Labor: $180. Total: $208.50. A new comparable fridge would have been $900 delivered, plus $40 for haul-away. I did the math and told him to fix it.
We have a long history with this building’s appliances, so I wasn’t 100% confident. The fridge was nine years old. Even after I approved the repair, I kept second-guessing. What if the compressor went out a month later? I’d have spent $208 to lose the final round. But the repair company called back after four weeks to see if the temperature had stayed stable. That call—the fact that they remembered us—probably saved them our future business.
The real takeaway: total cost, not sticker price
Looking back, that week wasn’t about Honeywell versus Nest, or about the Bendix brand, or about whether to repair the fridge. It was about reading cost estimates as whole systems rather than line-item stickers.
I still buy Honeywell controls where they fit. I’ll still order a Bendix air dryer when our technician has data to back it up. But I no longer compare quotes the way I did in 2020. I add the “what else has to happen before this part works” line before I call finance.
My current cost comparison has four lines:
- What other parts are required to make this thing work?
- Who installs it, and what does the labor cost if the job runs long?
- How quickly can the vendor send a replacement if the first unit fails?
- What will this decision cost in downtime or employee frustration?
I’m not an HVAC engineer or an appliance repair tech. I don’t do load calculations or refrigerant circuit math. I’m the person who signs the purchase orders and explains the invoices. From that side of the desk, the cheapest number at the top of a quote is often the most expensive number once the project is finished.
Now, when someone says the conference room is freezing or the fridge isn’t cold, my first instinct isn’t to shop for a replacement. It’s to find out what’s set wrong, what’s missing, and what might need to be replaced next. That’s the total cost that actually matters.
